This Privacy Policy explains how Ultimate Claims LLC (“Ultimate Claims,” “we,” or “us”) collects, uses, discloses, and retains information in connection with this website and the estimating and supplement support services we provide to contractors.

Ultimate Claims provides construction estimating and documentation services exclusively to contractors. We do not represent policyholders, provide legal advice, interpret insurance coverage, or act as a public adjuster.

1. Information you provide to us

When you complete an application or inquiry form on this website, we collect the information you enter, which includes:

  • Your name and the name of your company
  • Your telephone number and email address
  • The contents of any message or description you submit
  • The page or service area from which the form was submitted

If you contact us by telephone, text message, or email, we receive the information contained in that communication.

2. Project files and third-party information

In the course of providing services, contractors send us project materials. These materials commonly contain information about persons other than the contractor, including property owners and insureds. Depending on the file, they may include:

  • Carrier estimates, adjuster reports, and related correspondence
  • Photographs, measurements, diagrams, and inspection documentation
  • Claim numbers, policy identifiers, loss dates, and property addresses
  • The names and contact details of property owners and other parties to the claim

We process these materials on behalf of, and at the direction of, the contractor who provides them. The contractor is responsible for ensuring it has the authority necessary to share project materials with us and for complying with the obligations applicable to its own relationship with the property owner. We use these materials solely to prepare estimating and documentation work product for that contractor and for the recordkeeping purposes described below.

3. Information collected automatically

We do not use website analytics services, advertising networks, behavioral tracking, or marketing pixels on this website, and we do not set cookies for those purposes.

Our hosting provider maintains standard server logs, which may record an IP address, browser type, referring page, and the pages requested. These logs are used for security, diagnostics, and operation of the website.

This website loads typefaces from Google Fonts. When a page loads, your browser makes a request to Google's servers, and that request transmits your IP address to Google. This request is necessary to display the site as designed and is not used by us for tracking.

4. How we use information

We use the information described above to:

  • Review applications and determine whether a contractor is a fit for our roster
  • Respond to inquiries and communicate about active files
  • Prepare estimating and supplement documentation for contractors
  • Provide status updates on active projects
  • Maintain business, tax, and project records
  • Operate, secure, and improve this website
  • Comply with applicable law and respond to lawful requests

5. How information is disclosed

We do not sell personal information, and we do not disclose it for advertising or marketing purposes.

We disclose information in the following circumstances:

  • Service providers. We use third parties to operate our business, including our website host and form provider (Netlify, Inc.) and our email provider. These providers process information on our behalf and are permitted to use it only to provide services to us.
  • At the contractor's direction. Project materials and work product are prepared for the contractor and are provided to the contractor, and to parties the contractor directs or authorizes, in connection with the project.
  • Legal requirements. We may disclose information where required by law, subpoena, or other legal process, or where necessary to establish, exercise, or defend legal claims.
  • Business transfer. Information may be transferred in connection with a merger, acquisition, or sale of all or part of our business.

6. Retention

We retain application and inquiry information for as long as reasonably necessary to evaluate and respond to it. We retain project files and related work product for the period necessary to perform the services and thereafter as required to satisfy legal, tax, insurance, and recordkeeping obligations, or to establish, exercise, or defend legal claims.

7. Security

We use commercially reasonable administrative and technical measures designed to protect information in our possession. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not transmit sensitive personal information, such as financial account numbers or government identification numbers, through the forms on this website.

8. Your choices and requests

You may contact us at any time to ask what information we hold about you, to request that we correct it, or to request deletion. Send requests to ultimateclaimsllc@gmail.com. We will respond as required by applicable law.

Some information cannot be deleted on request. Project files form part of the record of a completed engagement, and we may be required to retain them. Where we cannot honor a deletion request in full, we will explain why.

If you receive email from us and no longer wish to, tell us and we will stop.

9. Children

This website is directed to businesses and is not intended for children. We do not knowingly collect personal information from anyone under the age of sixteen.

10. Changes to this Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page indicates when it was last revised. Continued use of this website after a revision constitutes acceptance of the updated Policy.
